general information

In the event of illness, even if you are only ill for one day without a doctor's certificate, you are obliged to inform the University's Human Resources Department and your supervisors immediately of your incapacity for work and its expected duration.

Please note from 1.1.2024: Since a five-day week applies to all Leuphana employees, including part-time employees, even if they actually only work on individual days as part of flexitime, part-time employees must also report sick on those days on which they would not normally work. These days are also recorded as sick days. If a recovery falls on a day that has not been agreed as a working day, there is still no entitlement to make up work on these days.

If your incapacity to work lasts longer than 3 calendar days, you are obliged to consult a doctor no later than on the general working day following the third calendar day and to send a note to the Human Resources department stating the duration of your incapacity to work as determined by a doctor. As the deadline is measured in calendar days, the weekend also counts. This means, for example, that in the case of a prolonged illness from Thursday onwards, a doctor must confirm incapacity for work by the following Monday at the latest.

If the incapacity to work lasts longer than determined by the doctor, you are obliged to report a new determination of incapacity to work by a doctor. Even if the illness lasts longer than 6 weeks, you must immediately report any further incapacity for work determined by a doctor. The Human Resources department must be notified of any medically confirmed incapacity for work.

If you fall ill during your vacation, the vacation days on which you were ill will be credited back to you. However, you will need a doctor's certificate from the first day of your illness. The sick note must be submitted immediately to your line manager and the Human Resources and Legal department at krankmeldung@leuphana.de.

Information about the eAU

From 01.01.2023, the electronic certificate of incapacity for work (eAU) will replace the certificate of incapacity for work issued by the doctor in paper form. The physician will digitally transmit the determination of incapacity for work to the health insurers. The data is then made available to the employer in digital form for retrieval. Only with the data you provide is it possible for the Human Resources department to retrieve the data on incapacity for work reported by the doctor to the health insurance fund. The diagnosis is still subject to data protection.

All employees of Leuphana are still obligated, in accordance with Section 5 of the Continuation of Remuneration Act, to inform the University immediately of an inability to work via the Human Resources Department.

For employees with private health insurance and civil servants with private health insurance, the eAU will not apply as of 01.01.2023. These groups of persons will continue to receive the certificate of incapacity for work from the doctor in paper form and must submit the original to the responsible Human Resources and Legal Affairs department.

Process

1. Indicate incapacity for work: Please notify your supervisor (or contact person) and the Human Resources Department at krankmeldung@leuphana.de of your incapacity to work. The Human Resources Department must also be notified of illnesses that occur after the employee begins work and leaves work early. This notification can be made via the relevant institution or by the employee him/herself.

Please also state if the incapacity for work was caused by an accident, occupational accident, commuting accident or by the influence of a third party (note for attending physicians: the responsible accident insurance institution is the Landesunfallkasse Niedersachsen, Am Mittelfelde 169, 30519 Hannover).

If your illness lasts longer than three days, also submit a medical certificate to the Human Resources Department. You can find more information under "Information on the eAU".

2.Report recovery: Please also notify the Human Resources Department at krankmeldung@leuphana.de of your return to work and inform your supervisor.
