At Leuphana University of Lüneburg, all weekdays from Monday to Friday (with the exception of public holidays and December 24 and 31 of each year) are generally working days. The average regular weekly working hours of employees are determined by statutory regulations, collective agreements or employment contracts.
Flexible working hours apply. This means that all employees are responsible for adhering to their average regular weekly working hours. A willingness to stand in for other employees and timely mutual agreement are indispensable prerequisites for the functioning of our flexible working hours.
A working time framework from 6.00 a.m. to 9.00 p.m. applies. All employees themselves determine the start and end of their individual daily working hours, breaks and availability within this working time frame, taking into account the requirements of the job, which always take priority. There are no core hours. Supervisors may set working hours (e.g. service times, staff meetings), taking into account the requirements of the job.

Leuphana's technical and administrative staff are required to record their working hours online using time recording software. The main processes relating to time recording are listed and explained below. More detailed information on the time recording system can be found in the SAP Time Recording Manual (see "Related documents").
From January 1, 2024, all employees who participate in time recording will book their working time via SAP Time Recording. The system can only be accessed online via a web client.
- Make sure that you are in the university network (on campus) or have logged in via VPN (in your home office).
- Call up the following link: https://ps1.erp.uni-hannover.de/leuphana/zeitwirtschaft?sap- theme=sap_belize
- Click on "Next" in the SAP mask that opens
- Enter the user name and password for your Leuphana account. You can also use this to log in to the VPN or myAccountPortal, for example. For employees who have been working at Leuphana for a long time, the user name is your surname; for newer employees, the user name is made up of numbers and letters. The Leuphana account is not to be confused with your e-mail address. If you have any problems logging in or if you are unsure which data is correct, please contact the IT service at it-service@leuphana.de.
- Use the "come" or "come (home office)" buttons to start recording your working time. The preset time corresponds to the time you log in to the time recording system. The time is not updated automatically if you are inactive for a longer period of time. To update the time, click on the clock symbol next to the time.
Please note: In order to record the time you need until you have booted your computer and started time recording as working time, 5 minutes are credited to you daily for time bookings on campus.
If your working hours began before you were able to log into the time recording system on your work computer, you have the option of retroactively recording your working hours for up to 3 calendar days.
- Please fill in the three mandatory fields marked with an asterisk (date, new time, booking type).
- The "Special feature" field must be completed if you wish to subsequently record working time in the home office.
- Then click on the "Save" button.
Please note: Necessary working time corrections for the previous Friday can still be made on Monday. You cannot make working time corrections outside of the subsequent recording period yourself. Please contact zeiterfassung@leuphana.de with your specific request.
If you determine that a booking was incorrect, you can delete it retroactively for up to 3 calendar days and then re-enter it via the detailed entry (see above).
- Select the relevant entry and click on "Delete". The entry disappears from the list.
- Enter the correct data via "Detailed entry" as described above.
Please note: Necessary working time corrections for the previous Friday can still be made on Monday. You cannot make working time corrections that lie outside the subsequent recording period yourself. Please contact zeiterfassung@leuphana.de with your specific request.
A business trip is undertaken to carry out business outside the workplace, but within the Lüneburg place of work.
- If you leave the campus for a business trip, you must be logged into the system as present (in the office or home office).
- As soon as you start your business trip, use the button "Leave (with reason/business trip)"
- As soon as you have completed the off-site work, book "come (with basic/off-site work)" in the system. You are then still booked as "present".
- If your work ends directly after the tour of duty, click on "leave" immediately.
You will be credited with one hour of working time per week for participating in employee sports. You can subsequently record this one hour of working time via the detailed entry.
- If you take part in employee sports activities, please enter "leave" when you leave the workplace
- Enter "come" when you return to work after the employee sports session.
- Enter the hour of employee sports via the detailed entry.
