Our aim is to find a solution together with you when planning room utilisation. We endeavour to ensure that room changes do not impair good cooperation in the building areas. It is important to us that institutes and working groups can use offices close to each other in connected areas. Spatial planning at Leuphana University of Lüneburg follows the regulations on maximum floor space in state institutions that also apply to Leuphana. It is based on principles adopted by the Presidential Board, taking into account the available space.
As workplaces are preferentially made available to new hires, former employees of Leuphana are unfortunately not entitled to a workplace.
- Register office supplies with Real Estate Management: Contact your colleagues in Real Estate Management and tell them about your office requirements. Together we will clarify the extent to which you need support, e.g. in the form of specific suggestions or room allocation plans. Property Management can also take over communication with other people and/or departments.
If significant/comprehensive space changes are involved, property management will proactively approach the work areas. This includes, in particular, the reorganisation of institutes and working groups, the accommodation of staff for large research projects, the designation of special rooms for e.g. meetings, teaching, laboratory work. - Coordinate room allocation: The real estate management team will submit a proposal for the new room allocation and is available to answer any questions. The aim is to reach/agree on a jointly supported solution.
- Plan implementation: We work with you to plan the next steps required.
In addition to meeting occupational health and safety requirements, the workplace should also meet Leuphana's quality standards. Real Estate Management will support you in equipping, furnishing and integrating the workplace into Leuphana's existing technical infrastructure.
1. Report any renovation requirements: If there is a need for improvements and/or repairs in the rooms you are moving into, first contact your colleagues in Facilities Management at hochbau@leuphana.de
2. order furniture: You can obtain information about standard furniture that can be ordered via the e-mail address moebel@leuphana.de.
3. order IT hardware and software: For the procurement of technical equipment, please use the IT order form or contact the IT service at it-service@leuphana.de
4. submit change notification/relocation list: Please complete the notification of change (for individual workstations) or the relocation list (for relocating entire departments and teams) and submit it tobeipersgeb@leuphana.de. This will enable you to set up a personal website, access to the Pure research database, telephone and network activation, entry in the internal address directory and the affixing of a personalised door sign.
5. schedule the move-in: Contact hausdienst@leuphana.de to schedule your office move-in.
The data in the change notification is recorded by the property management in an occupancy file. This file is the interface to the address directory https://www.leuphana.de/intranet/avz.html. The surnames also appear in the room allocation plans.
Once the change notification has been entered, it is sent to the areas that should be informed of a change at the workplace or that are responsible for this change (telephone technology, network technology, university communication, research service, house service, signage team, key management, myStudy, telephone switchboard, occupational safety).
